A reliable RFQ defines one commercial and technical target. Without it, low and high quotations may describe different products, certifications, accessories, software support or quality standards.

BEFORE CONTACTING SUPPLIERS

Define what every quotation must cover.

Unknown details are acceptable at the beginning. Mark them as open questions instead of allowing each supplier to make a different assumption.

Commercial context

Give suppliers enough context to judge product fit, MOQ, lead time and lifecycle expectations.

A device should be matched to the workflow, not only to a specification table.

Hardware platform

Separate mandatory specifications from preferences so suppliers can propose valid alternatives.

  • Processor, RAM, storage and required performance level
  • Screen size, brightness, touch and resolution
  • Wi-Fi, Bluetooth, 4G/5G, GNSS and regional bands
  • Battery capacity, hot-swap and charging interfaces

Define the real media, distance and operating speed instead of requesting a generic scanner or RFID reader.

  • Barcode types, condition, size and scan distance
  • Scan frequency and any long-range or direct-part-mark need
  • RFID frequency, protocol, tag type and expected read range
  • Expected tag population and target read rate
  • NFC, payment, printer, biometric or other peripheral needs

Software support can determine whether an otherwise suitable device remains deployable.

  • Operating system and minimum Android version

  • Security-patch and operating-system upgrade expectations

“OEM” should be translated into a specific list of changes and ownership decisions.
